An opportunity has arisen for a Receptionist/Office All Rounder to join us at the Uniting Church in Australia, Synod of WA. This position will be based at the Uniting Church Centre at Edward Street, Perth.

This will be a part-time position (0.8FTE) from 9am to 5pm Monday to Thursday (the office is closed on Friday).

About the role

This position will be involved with all areas of the Uniting Church Centre assisting with general administration. You will work in close co-operation with all Synod and Presbytery employees along with many external personnel including those in specified ministry, congregation members and leaders and volunteers.

Your main areas of responsibility will be:

Reception

  • Convey confidence, interest and warmth to all visitors and callers making their visit or phone call to the UCA, Western Australia a positive experience.
  • Book couriers, receive, sign and distribute deliveries.
  • Collect incoming mail/organise outgoing mail with the post office.
  • Assist with large direct mail packs from Communications.
  • Monitor and distribute emails sent to the main address.
  • Ensure the reception area is always kept neat and presentable with a clean desk policy.
  • Manage the maintenance of office machinery and ensure the printer/photocopier is filled with paper.
  • Order kitchen consumables and stationery supplies.
  • Ensure the kitchens and utility areas are kept tidy and load/unload the dishwasher.
  • Update and distribute the employee phone list.
  • Assist with bookings for visitor parking.
  • Organise catering when required.
  • As an Office All Rounder, assist all staff members with ad-hoc administration requests.

Moderator administration assistance

The Moderator is a 0.6FTE position that is predominantly out of the office and as such you will need to work independently and have excellent time management and communication skills.

  • Obtaining all details of the caller and forwarding messages immediately.
  • Diary management and meetings.
  • Organising occasional flights and accommodation.
  • Recording incoming correspondence and preparing outgoing correspondence.
  • Other duties as assigned.

Property Services administration assistance

Your largest portion of time will be working in the Property Services area:

  • Triage incoming property requests and enquiries by telephone and email.
  • Organise for documents to be signed by the relevant parties including those required under seal.
  • Preparation of correspondence, lease documentation and reports.
  • Liaise with third parties to ensure property matters run smoothly.
  • Maintain property records including the Laserfiche system.
  • Assist the Property Manager with general maintenance of the Edward Street Office.
  • Assist the Executive Officer Property with administration.

As part of a small team, you will contribute by adding value and being of assistance, able to lend a hand to any task big or small with care and diligence. You will be an important part of the team that will be relied upon by others.

Knowledge

  • Essential experience using Office 365.
  • Desirable experience in Teams and SharePoint.

Experience

  • Previous experience in a reception/front desk position.
  • It is essential that you have demonstrated experience assisting multiple people with administration.
  • Although not essential, previous experience and an interest in property management will be highly regarded.
